1-0 INTRODUCTION
GRADE BOOK POWER can keep up-to-the-minute information for all
students. The program prepares, prints and stores information
necessary to produce comprehensive reports. You will save hours of
your time usually spent preparing for conferences, for recording
report card grades, and completing reports for administrators.
GRADE BOOK POWER is specifically designed to be simple to
understand and easy to use. The ten menus allow easy movement
through the program so you can begin recording student grades in
just a few minutes.
1-1 REQUIREMENTS
The following equipment is needed to use GRADE BOOK POWER:
* An IBM PS/2, PC or compatible with at least 512K of memory,
monitor, and two disk drives (or hard disk drive and one diskette
drive)
* A printer, capable of printing both 10 and 12 characters per inch
(condensed 16.66 cpi recommended)
* The GRADE BOOK POWER program diskette and blank formatted student
data diskette for storing student grades

1-4 SETTING UP FOR THE FIRST TIME
If you have 2 diskette drives:
Copy all files from the distribution diskette to a diskette that
contains the DOS file COMMAND.COM. This disk will be called the
program diskette.

If you have a hard drive:
Make a subdirectory (for example MD GRM) for the GRADE BOOK POWER
program. Copy all files from the distribution diskette to this new
subdirectory (for example COPY A:*.* C:\GRM). If you plan on
backing up your student data in a subdirectory on the hard drive,
you should make another subdirectory (for example MD DATA).
Student data should be kept on a floppy diskette to take advantage
of some features such as copying student names to a new diskette.
1-5 STARTING A NEW SCHOOL YEAR
Place your GRADE BOOK POWER program diskette in drive A: if you
have 2 disk drives. Change to the Subdirectory containing the
GRADE BOOK POWER Program in the program is on a hard drive. Place
a blank formatted diskette in the second disk drive. Enter the
command GRADES /INSTALL to start GRADE BOOK POWER for the new year.
You will be asked to enter the name of the Disk drive (and
subdirectory) that will contain your student data. On a two drive
system, the program is usually placed in Drive A:. The Student
Data diskette is usually placed in drive B:. On a hard drive you
should enter the name of the drive letter and name of the
subdirectory ( for example C:\DATA).
After entering the Student Data Diskette information, the MENU BAR
will be displayed at the top of the screen. You should go
immediately to the SET UP MENU. After entering the information,
use selection 14 to Save the information to diskette.
The file CONFIG.GRD will be created on your data diskette.
CONFIG.GRD will store the displayed information. The file CO will
also be created on the program diskette. CO contains the printer
codes and the drive letter (and subdirectory) of your student data.
Before creating any classes, you should review the last 4 items on
the SET UP MENU. If you wish to have a default grading scale
different from the displayed scale, you should enter the
percentages now. These percentages can be changed later, but you
will have to change them for each class rather
than just once now.
If your screen appears washed out or you have trouble seeing the
cursor, start the program by typing GRADES /B and pressing the
Enter key. Go to the SET-UP Menu and save the settings. You need
to do this only once as GRADE BOOK POWER remembers these settings.
In the future, Start GRADE BOOK POWER by entering the command
GRADES at the DOS prompt A>.

1-6 THE MENU BAR
GRADE BOOK POWER contains 10 menus. Each menu name is displayed in
the MENU BAR at the top of the display screen. Each menu is
explained in the rest of this manual.
1. RECORD - Record Student Assignments and Personal Comments
2. MISSING - Update and Print Out Missing Assignments
3. PRINTOUT - Print Out Individual and Class Reports
4. ANALYZE - Analyze Combined Information before Print Outs
5. LISTS - Combine your Classes for Ranking Information
6. NAMES - Entering Class and Student Information
7. UTILITY - Copy Information to new Diskettes, etc.
8. SETUP - Initial Set Up Information Used by your Classes
9. EXTRA - Miscellaneous Printer and Diskette Services
10. QUIT - The only way to leave GRADE BOOK POWER
The TEN menus of GRADE BOOK POWER allow easy movement through the
program. The MENU BAR at the top of the screen serves as the
center of this program. Each menu is accessed by making selections
at the MENU BAR.
You can select a Menu from the MENU BAR by:
1. Using the left or right arrow keys,
2. Holding down the alternate key and pressing the first letter of
the menu name, or
3. Placing the mouse cursor on top of the menu name and pressing
the left button of the mouse.
QUIT on the far right of the MENU BAR is the only way to leave
GRADE BOOK POWER. Leaving the program with this selection insures
that all student data has been safely stored on diskette.
Choices are listed below each menu. Select a choice by:
1. Using the up or down arrow keys,
2. Pressing the first letter of the choice, or
3. Placing the mouse cursor on top of the choice name, then
pressing the left button of the mouse.
Choices that are displayed in red letters on a white background, or
with a bullet to the left of the choice can not be selected.

Prior to entering any classes, the last 4 menu selections can also
be used to set new default (starting) values. The default values
will be copied to each class file when each class is created with
the NAMES menu.
2-1 CURRENT QUARTER (TERM) NUMBER
When GRADE BOOK POWER is set up for the first time, the quarter is
automatically set for quarter number 1. When you want to change
quarters, you should enter a number between 1 and 6. Some schools
use 6-six week terms to determine grades and others use 4-nine week
quarters. In this program, term and quarter have the same meaning.
You can return to a previous quarter to change or update a
student's grade. However, after making the changes, you must use
the Utility Menu to transfer the new point subtotals forward to the
current quarter. Then change the quarter (term) number back to the
current quarter.

2-2 USING STUDENT NAME OR IDENTIFICATION CODE
Most print outs on the PRINTOUT, ANALYZE, and LIST MENUS and the
ASCII diskette files can be made with either the student name or
the student identification code. Enter either the Letter N for the
student Name or the letter I for the Identification code to be
used.
2-3 PRINT PARENT SIGNATURE REQUEST
There may be times when you want to send individual student reports
home for parent signatures. Enter Y for Yes or N for No to print
theparent signature request.
2-4 REVISE/REVIEW COMMON MESSAGE ON INDIVIDUAL REPORTS This
message might be asking parents to call the school if they have any
questions. A student message might be a reminder that a book
report, etc is due. Pressing Alt-D will Delete the line if
necessary. You must also enter Y on the next selection of this
menu for the common message to be printed.
2-5 PRINT COMMON MESSAGE ON INDIVIDUAL REPORT
To place the common message you entered with the above selection of
this menu to be printed on all individual reports, answer Y for Yes
or N for No.
2-6 TEACHER'S NAME TO BE PRINTED ON REPORTS
The teacher's name is included on most print outs.
2-7 SCHOOL'S NAME TO BE PRINTED ON REPORTS
The school's name is included on many print outs.
2-8 SELECTING A PRINTER
The following printers are supported by GRADE BOOK POWER. Others
may have been added after this manual was printed.

After selecting the printer, you will be asked the length of the
paper to be used. Enter either 11 or 14. GRADE BOOK POWER always
checks the status of the parallel printer port before sending any
data. This normally works quite well. However, if you map a
parallel port to a serial one by the MODE command, or if you have
a non-standard, or very fast computer you may experience problems.
GRADE BOOK POWER might actually think that your printer port
(LPT1:) is busy when you know it is not. If you have printer
problems like this, select Y for Yes to ignore the printer status.
For printer not listed or not compatible with the displayed
printers, select a user-defined printer. User-defined printers
require an ASCII text editor to enter the printer codes found in
your printer manual.
2-9 NUMBER OF GRADING TERMS PER SEMESTER
Enter the number of terms each semester. Semesters usually contain
two-9 week quarters or three-6 week grading terms per semester.
2-10 THROW OUT LOW TEST SCORE
You are given the option of throwing out the lowest score in the
fourth category (TEST is the default name) only. At least two
scores in the fourth category must have been entered for the
student before a score will be thrown out. If you want to throw
out the lowest test score, answer Y for Yes or N for No.
2-11 METHOD TO DETERMINE GRADE ACCURACY (ROUNDING)
One of four methods may be chosen to determine the grade.
1. Three Decimals-Up 3. Closest Integer
2. Three Decimals-Down 4. Full Integer
For example, if the student's grade is 89.657%, the different
methods calculate as follows:
1. Method 1 keeps the grade at 89.657%, but rounds up to 90% when
necessary. (But does not cross a bottom percentage)
2. Method 2 keeps the grade at 89.657%, but rounds down to 89% when
necessary. (Default method)
3. Method 3 (Closest Integer) rounds the grade up to 90%.
4. Method 4 (Full Integer) drops the fraction, rounding the grade
to 89%.

2-12 REVISE/REVIEW SCHOOL LETTER GRADES
Most school systems use the letter grades displayed below in the
left column (the default). Other school systems also allow the
letter grade of E to show effort. Some systems use the letter E
instead of the letter F. Some districts do not use +'s and -'s.
GRADE BOOK POWER allows any grade listed in the left column and the
letter E may be entered. Each set of 3 letter grades (1-3), (4-6),
(7-9) and 10- 12) must start with the same letter as displayed in
the chart. The middle grade of each group should not have a plus

2-13 MAXIMUM CLASS SIZE
Enter either 30, 32, 34, or 36 students per class. Maximum class
size determines how many students are listed in each column on the
data entry screen and print outs. By using 30, 15 students will be
listed in each column. This allows maximum benefit of the cursor
keys with the data entry screen.
You may change this number at any time. The maximum number of
students in each class is 36. The number of students displayed in
each column will be one half of the maximum class size.
2-14 SAVING THE DISPLAYED INFORMATION TO DISKETTE
When you are done making changes, choose this selection. The next
time you start GRADE BOOK POWER, these saved values will be used.
The following selections represent individual options for each
class. Each class can have it's own grading curve, category names
and weights, and method to calculate quarter and semester grades.
The changes should be saved before returning to the SET UP MENU.

These letter grades are assigned to every assignment, category,
semester exam, quarter and semester grade.
If letter grades are entered on the data entry screen of the
STUDENT ASSIGNMENT MENU, the letter grade is assigned a numerical
equivalent. This equivalent is the number halfway between the
highest and lowest number for that letter grade. An A+ (top) grade
will be equivalent to the total number of points possible for that
assignment. The bottom letter grade (usually F) will be assigned
0 points.

2-16 REVISE/REVIEW ASSIGNMENT CATEGORY NAMES
Each grade that you enter will be in one of four categories.
Homework, Lab, Quiz, and Test are the (default) categories. You
may use these or choose your own category names. Each category
name must begin with a different first letter. Only the last
category has the option of having the lowest score omitted (thrown
out) in calculating grades.
Each class may have different category names. For example, a
business teacher may teach typing and accounting. The typing class
could have a category called timings. Timings would not make any
sense in an accounting class.
After entering this information, press the Escape key to leave this
display. Then save these new category names.
2-17 METHOD TO CALCULATE QUARTER GRADES
This selection allows you to calculate quarter grades by cumulative
points or by weighting each category.
If you choose Cumulative Points, the total points earned during the
quarter will be compared to the total points possible. The grade
will be determined by the percentages you entered for this class.
Weighting causes each category to determine a set percent of the
quarter grade. For example, you can have homework count 20%, lab
10%, quizzes 30%, and tests 40%. These percentages must total
100%. Assignments in each category are also be weighted by varying
the number of points possible.
If there are no points possible in a category, yet the category was
assigned a percentage weight, that weight will be distributed to
the other categories. For example, if we use the above weights,
and there have been no tests given, the 40% must be distributed to
the other categories. Otherwise, 40% of every student's grade
would include an F grade (40% of 0 points). Adjusted weights would
change to homework 33.333%, lab 16.667%, and quizzes 50%. When the
first test is recorded, the weights would change back to their
assigned weights.
If you choose weighting by category, you can not choose cumulative
points for the semester grade, since the point totals would be
misleading.
After entering this information, press the Escape key to leave this

2-18 METHOD TO CALCULATE SEMESTER GRADES
To work properly, the grades from the previous quarter (term) must
be transferred forward with selections 2 through 6 of the Utility
Menu.
This selection allows you to calculate semester grades by
cumulative points or by weighting each term and the semester exam.
If you choose Cumulative Points, the total points earned in the
previous term will be added to the points earned in the current
term. The semester grade will be based on the total points earned
out of the total points possible. This method is best if you have
a different number of total points possible in each quarter.
If Weighting is chosen, the semester grade is determined by the
entered weights for each term and semester exam. The weights for
each term and semester exam must total 100%
Weight for Quarter (Term) 1 Grade: 40
Weight for Quarter (Term) 2 Grade: 40
Weight of the Semester Exam Grade: 20
Total Weight: 100
If there are no points possible in a term or semester exam, yet
that term or semester exam is assigned a percentage weight, that
weight will be distributed to the other term or semester exam. For
example, if we use the above weights, and the semester exam has not
been given yet, the 20% must be distributed to the other terms.
Otherwise, 20% of every student's grade would include an F grade
(20% of 0 points). Since the terms are weighted equally, the 20%
would be distributed equally to the two terms. These weights would
change 1st Term to 50% and 2nd Term to 50%. When the semester exam
is completed, the grade would be calculated based on the assigned
weights (40%, 40% and 20%).
The Last Quarter Only method uses only the current quarter to
determine the semester grade. The previous quarter grades will be
printed on some reports, but they will be ignored in the
calculations.
The Weighting/12 Point Scale assigns numerical values to the earned
letter grades for each term. At the end of the semester, the
weighted numerical values are added to determine the final semester
grade.
After entering this information, press the Escape key to leave this
display screen. Since this is an individual class option, save
this information before returning to the SET UP MENU.

When this option is selected you should enter the course title and
section numbers. Usually the name of the course is entered, e.g.
EARTH SCIENCE. Usually the period that the class meets is entered,
e.g. PERIOD 1.
Elementary teachers who combine topics like HEALTH & SCIENCE into
one course, should enter HEALTH for the course title and SCIENCE
for the section name. Elementary teachers should enter the class
with the largest number of students as the first class (CLASS1).
Student absences and tardies are taken from CLASS1. Course titles
and section names must be entered before adding students to any
class. Press ESCAPE when you are done entering your classes.
3-2 REVISE COURSE TITLE / SECTION NAMES
The course titles and section names that were entered with
selection 1 of this menu can be revised at any time with this
selection.
3-3 ENTER / ADD NEW STUDENTS TO A CLASS
You can have the records for up to 36 students in each class.
Students can be added to your classes at any time. You should
enter the student's last name first so the student names can
alphabetize if desired.

Use the Tab key or place the mouse cursor in the new column and
press the left mouse button to move between the columns. Display
additional help by pressing the F1 function key. The I.D. can be
of any format you choose. Some teachers use the student's text
book number while others use the school I.D. number. This I.D.
would be used when posting grades by I.D. rather than Student Name.
Text File is the name of any ASCII file that can be included on
individual reports to specific students. The information should be
in a ASCII file, up to 12 lines long. The filename is listed in
the Text File column. This file must be located on the student
data diskette. When individual student reports are printed, the
data disk is checked to see if a matching ASCII file exists. If
the file exists, the information is included on the individual
printout.
SuperData is another way to group reports. For example, if the
word football was entered after all the football players, you would
be able to print reports for just football players. Different
SuperData like golf or debate, etc. could be used to generate a
different group of reports.
After pressing the Escape key to leave this display, you will be
asked if you want to alphabetize the names. Enter Y for Yes or N
for No. These changes will be automatically saved to diskette.
3-5 ELEMENTARY - COPY CLASS 1 NAMES TO OTHER CLASSES
The student names and codes from class 1 will be copied to the
other classes.
The program works most effectively for elementary teachers if the
class with the largest number of students is entered as class
number 1. Elementary teachers should enter all student names and
identification codes into class 1. Then this selection should be
chosen.
After the names and codes are copied to each class, you can revise,
add or delete student names and identification codes as desired.
Student names and I.D. codes are added, revised, and deleted with
other selections of this menu.
Student names and codes will not be added to any class that
contains any previously entered student names.
Attendance and tardy information will be taken only from the first
class for the student print outs.

A listing of student names and Identification codes is printed with
this selection.
3-7,3-8 PRINT OUT STUDENT NAMES - SCREEN DISPLAY
Selection 7 prints out for one class. Selection 8 prints out all
classes.
This selection prints out a student listing as they appear on the
data entry screen. Three blank lines will be printed in front of
each student name. This is an easy way to print a listing of
students that will be gone for a field trip, etc. To print a
listing of combined classes, use selection 9 of the LISTS MENU.
This print out can also be used for temporarily recording student
grades if you don't have immediate access to a computer to enter
your grades. It is often much easier to enter grades from one
sheet of paper than from 36 copies of unalphabetized papers at a
computer.
3-9,3-10 PRINT OUT ALL STUDENT NAMES - VERTICAL LISTING
Selection 9 prints out for one class. Selection 10 prints out all
classes.
This selection prints out a student vertical listing with a line
drawn between each name. The Epson printer (#1) prints a series of
boxes like a blank gradebook page. If you prefer horizontal lines
only, then change the printer to Epson #2. After making your print
outs, change your printer back to number 1.
This print out can be used for temporarily recording student grades
if you don't have immediate access to a computer to enter grades.
It is often much easier to enter grades from one sheet of paper
than from 36 unalphabetized student papers at a computer.

3-11 DELETE COMPLETE NAME/RECORD - ONE STUDENT
The student information that was entered with selection 3 of this
menu can be deleted at any time with this selection.
First select the class that the student is enrolled in. Then enter
the student number. The current student name will be displayed.
Below the student name you must enter the word DELETE.
If you enter the word DELETE, all information, including name,
identification code, and all grades will be removed. An
alternative way to keep the information about a student is to
EXcuse the student from all future assignments. This is done with
the MISSING ASSIGNMENTS MENU.
3-12 DELETE ALL STUDENT NAMES AND GRADES - ONE CLASS
All information about a class can be deleted with this selection.
First select the number of the class. The current class name will
be displayed. Below the class name you must enter the word DELETE.
If you enter the word DELETE, all information about the class,
including all students, I.D.'s, and all grades will be removed.
Use this selection with great care.
This selection would be used most often by teachers who have a
mixture of classes that last all year and some that last only one
quarter or one semester.

4-1 RECORD GRADES OF A NEW ASSIGNMENT
When selections are made from the STUDENT ASSIGNMENT MENU, your
list of classes will be displayed.

quarter (term). The semester exam is assignment number 61. This
share ware version allows 25 grades to be entered.
4-1-1 ASSIGNMENT TITLE, WEIGHT, AND CATEGORY
You may optionally enter a date that will be printed on the
individual print outs. The assignment title can be up to 17
letters long. Any number of points may be assigned to an
assignment. If this is an EXTRA CREDIT assignment, enter 0 for the
number of possible points. Then enter the first letter of the
category from the chart. Each category name must start with a
different letter. These categories for each class can be changed
with the SET UP MENU.

4-1-3 ENTERING NUMBER GRADES
If the entered number grade is greater than the number of possible
points, a message will be displayed.If you made a mistake when
entering the grade, you can reenter the correct grade. The student
could have earned a higher point total because extra credit points
may have been included in the assignment.
4-1-4 ENTERING LETTER GRADES
The letter grades A+, A, A-, B+, B, B-, C+, C, C-, D+, D, D-, and
F (or from your custom grading scale) may be entered on the data
entry screen. After entering the letter, enter either the + or -
or space. The cursor will move to the next student. When the
average, category, cumulative, and final grades are calculated,
these letter grades are converted to numerical equivalents.
The letter grade A+ is converted to 100%. The letter grade of F is
converted to 0 percent. The other percentages are found be taking
the average of the bottom and top percentages in each letter grade
range.
Then the percentage is multiplied by the old number of possible
points (weight) that were entered with the assignment title,
category, and date to determine the points earned.
4-1-5 ENTERING SPECIAL GRADES
The following special grades can also be entered on the data entry
screen by holding the Alternate key down and pressing the first
letter of the special grade. After the special grade is entered,
the cursor moves to the next student.
Alt-A = ABSENT The letters AB will be recorded on the data
entry screen. This grade is ignored when computing the class
average and considered equal to 0 when individual student average
is computed.
Alt-B = BLANK The displayed grade will be blanked out as if
no grade was entered for the student. This grade is ignored when
computing individual and class averages. This grade is ideal for
self-paced courses.
Alt-C = CHEAT The letters CH will be recorded on the data
entry screen. This grade is considered equivalent to 0 when class
and individual student averages are computed.

Alt-E = EXCUSED The letters EX will be recorded on the data
entry screen. This grade is ignored when computing the class and
individual student averages. This grade is issued when it might be
impossible or impractical to make up a missed assignment.
Alt-I = INCOMPLETE The letters IN will be recorded on the data
entry screen. The grade is considered equivalent to 0 when class
and individual student averages are computed. The difference
between Alt-I and Alt-A is explained in chapter 11 Miscellaneous
Information.
Alt-N = NO CREDIT The letters NC will be recorded on the data
entry screen. This indicates the assignment was not turned in.
This grade is considered equal to 0 when class and individual
student averages are computed.
Alt-P = PERFECT SCORES FOR CLASS Some teachers give assignments
that all or nearly all students get perfect scores. A perfect
score will not be entered for those students with a previously
entered grade. By entering Alt-P, the possible points (weight)
that were entered with the assignment title, and category will be
quickly entered for all students. Then it becomes a simple task of
using the cursor keys to edit the scores that were not perfect.
Alt-U = UNEXCUSED The letters UN will be recorded on the data
entry screen. This grade is considered equivalent to 0 when class
and individual student averages are computed.
4-1-6 CURSOR MOVEMENT AND SHORTCUTS
The Enter key does not have to be pressed after each grade is
entered. Any cursor movement keys can be pressed, automatically
entering the displayed grade into the computer's memory and moving
the cursor to the next place to enter a grade. If the Enter key is
pressed, the cursor moves down one student. If the cursor is at
the last student, the computer will beep, and the cursor moves to
the first displayed student.
The mouse can also be used to move around the data entry screen.
The BACKSPACE key will delete the digit or letter to the left of
the current cursor position. The UP ARROW key moves the cursor to
move up one student. If the cursor is at the first student, the
computer will beep, and the cursor will move to the last displayed
student. The DOWN ARROW key functions identically to the Enter key
when the data entry screen is displayed.

The RIGHT ARROW key moves the cursor horizontally to the right
column of names. If no name is at this location the cursor will
move to the last displayed student name. The LEFT ARROW key moves
the cursor horizontally to the left column of student names.
The PgUp key moves the cursor to the most previous blank, ABsent,
or INcomplete grade. If there are no missing grades, the cursor
will remain in the same place. The PgDn key moves the cursor to
move to the next blank, ABsent, or INcomplete grade. If there are
no missing grades, the cursor will remain in the same place.
Alt-1 through Alt-9 moves the cursor a proportional amount on the
data entry screen. Alt-1 moves the cursor to the top row. Alt-5
moves the cursor to the middle of the screen. Alt-9 moves the
cursor to the last row of student names. The mouse can also select
a student.
4-1-7 COMPLETION OF GRADE ENTRY
When you have completed entering grades for an assignment, press
the ESCAPE key. Near the top of the screen the calculated class
average and average letter grade will be displayed. Then the
following options will be displayed:

<N>ot save these grades
Normally the letter S is entered to save the displayed grades to
diskette. After the grades are saved, you will be asked if you
want to record other grades for this class. If you answer Y for
Yes, the last 10 recorded assignments will be displayed.
After pressing any key to continue, you can enter the title,
possible points (weight), category, and grades of another
assignment.
If you had accidentally pressed the ESCAPE key or notice a mistake
in the entered grades, you can enter the letter C. The cursor will
return to the first displayed name.
If the letter N is entered, the displayed grades will not be saved
to diskette. Then you will be asked if you want to record other
grades for this class. If you answer Y for Yes, you will be ready
to record grades for a new assignment.

Use the cursor keys or mouse to move to the place to revise the

continue revising grades of a different assignment.
When you have completed revising the displayed grades, you can
press the ESCAPE key. The new class average will be computed and

you will be asked if you want to revise other grades for this
class. If you answer Y for Yes, the list of previously recorded
assignments will be displayed. After selecting the assignment
number, you can revise the grades of a different assignment.

Selection 1 of the MISSING ASSIGNMENT MENU allows quick revision of
student grades for all assignments that were previously recorded as
INcomplete, ABsent, or Blank. Selection 7 of the MISSING
ASSIGNMENT MENU lets you revise the grades of all previous
assignments for one student.
4-3 REVISE ASSIGNMENT TITLE, POINTS, OR CATEGORY
This option also lets the teacher automatically adjust the possible
student points on each assignment if desired. After selecting the
class number and assignment number to revise, the following screen

For example, the displayed assignment is worth 20 points. If you
changed the point value to 40 points, This assignment would have
twice the weight that it previously had.
If Y was entered, every student's numerical score would be adjusted
automatically for this assignment. For example, if a student had
previously scored 15 out of the 20 points, and the weight was
doubled to 40 points. The student's grade would automatically be
doubled to 30 out of 40 points.
If letter grades were previously entered for this assignment, the
grades are automatically adjusted when the new weight is multiplied
by the numerical equivalent. These changes are automatically saved
to the diskette.
4-4 DELETE ONE ASSIGNMENT FOR ALL STUDENTS - ONE CLASS
After selecting the class number, the list of previously recorded
assignments will be displayed. Enter the number of the assignment
to be deleted. The assignment title, possible points, category,
and student grades for the assignment will be deleted.
4-5 RECORD/REVISE PERSONAL COMMENTS - CURRENT QUARTER
After selecting the class, a data entry screen will be displayed.
Up to two personal comments can be printed on individual reports
each quarter.
The 81 comments available are divided into five groups.
Comments 1-15: IN CLASS PARTICIPATION
Comments 16-28: ATTITUDE/EFFORT
Comments 29-40: HOMEWORK/ASSIGNMENTS
Comments 41-62: SKILLS/ABILITY
Comments 63-81: BEHAVIOR/DISCIPLINE
A complete listing of the 81 comments are included on page 52. The
asterisk next to the number indicates a negative comment. These
comments can be edited with an ASCII text editor. A total of 81
comments must be present in a revised comment listing.
Pressing Alt-W will pop-up a window displaying 16 of the 81
available comments. Pressing the arrow, PgUp, and PgDn keys will
display the remaining comments. The Escape key must be pressed to
remove this pop-up window before entering the comment numbers.

Enter the comment number on this data entry screen. Pressing Alt-F
will flip back and forth between the two comments that can be
entered for each student. Pressing Alt-B will blank out a student
comment number.
A summary of the comments made for each student can be also be
printed with this selection. The numbers will not be printed on
individual student reports.
The comments can be revised with any word processor that can read
and save in ASCII format. A total of 81 comments must be present.
4-6 SEMESTER EXAM GRADE - RECORD/REVISE
The assignment title is set to SEMESTER EXAM. All letter grades
and values that could be entered with regular assignments may be
entered. This exam can only be entered in the last quarter (term)
of the semester. The semester exam is assignment number 61 and may
be displayed and analyzed by entering 61 on the PRINT OUT and
ANALYZE MENUS.
4-7 RECORD STUDENT ABSENCES/TARDIES
The quarter selected in the SET-UP MENU determines which quarter
will be used to record student absences and tardies. You may enter
any integer or even a decimal number (14.5) up to 4 characters long
for student absences. You may enter any integer up to 4 characters
long for student absences. If no information is entered in this
display for the student, no information will be printed on the
individual student progress report and capsule report about student
absences or tardies for that student.
Absence and tardy information should only be entered for CLASS1 for
elementary school students. This is an additional reason why an
elementary teacher's largest class should be CLASS1.

This print out is ideal for individual students. All grades for

not missing any assignments, no report will be printed.
5-6 PRINT OUT ALL MISSING ASSIGNMENTS - ONE STUDENT
This print out is ideal for the student that returns to school
after a lengthy absence. All grades for one student previously
recorded as INcomplete, ABsent, or Blank will be printed. If the
student is not missing any assignments, an appropriate message will
be displayed.
5-7 REVISE GRADES OF PREVIOUS ASSIGNMENTS - ONE STUDENT
There may be times when you wish to revise or record many grades of
one student. First select the class. Then a listing of all
students in that class will be displayed. Enter the student
number. Each assignment and the student grade will be displayed.
Press the Enter key to keep the displayed grade or enter the
revised grade.
5-8 EXCUSE A STUDENT FROM FUTURE ASSIGNMENTS
When a student leaves your class and you do not want to delete all
information about this student, you should use this selection. A
grade of EX (for EXcused) will be automatically entered for this
student for all future assignments for the remainder of the current
quarter.
If you want to set the final quarter grade to EXcused, use
selection 7 of the UTILITY MENU.

6-1 VIEW/PRINT OUT INDIVIDUAL REPORT - ONE STUDENT
After selecting the class and student number, each assignment
title, category, earned grade, possible points (weight), and letter
grade is displayed. The running cumulative grade (trend) for the
current quarter is displayed in the right column if cumulative
points is used to determine the quarter grade. The student's
category averages, category points and letter grades, and final
point totals and grade are displayed. Entering student number 0
will display the class average.
After category averages have been viewed, you may enter the letter
P to print this information. Entering the letter V allows viewing
of the grading scale. The last quarter grade will also be
printed. A grading scale, based on the number of total points
possible, or the weights and percentages from the SET UP MENU will
be printed. If a message was entered with selection 4 and Yes was
chosen for selection 5 of the SET UP MENU, the message will be
printed. If Yes was chosen for selection 3, a Parent Signature
request will be printed. Personal comments entered with the
ASSIGNMENT MENU, will also be printed. If an ASCII text file for
the student is found on the student data diskette, it will also be
printed. The ASCII text filename is entered on the Names Menu.

The individual student reports of all students in all classes will
be printed. Make sure that the printer has enough paper to print
all reports.
6-4 PRINT OUT INDIVIDUAL STUDENT REPORTS - ELEMENTARY
Since an elementary teacher usually has the same students for many
classes, all reports for one student will be printed before
advancing to the next student. All individual student reports of
all classes will be printed. Make sure that the printer has enough
paper to print all these reports.
6-5 PRINT OUT INDIVIDUAL STUDENT REPORTS - DEFICIENCY
This selection will search all classes. If the student's current
percentage is equal to or below the deficiency percentage entered
with this selection, an Individual Student Report will be printed.
These reports are ideal for providing guidance counselors with
detailed information about students performing below average. Some
schools have substituted this report for school deficiency reports.
6-6 PRINT OUT INDIVIDUAL REPORTS - MATCHING SUPERDATA
This selection will search all classes. If the student's SuperData
is the same as the requested SuperData, an Individual Student
Report will be printed. This set of reports is ideal for providing
coaches with detailed information about the academic performance of
the students.
6-7 PRINT OUT COMPLETE DETAILED RECORDS - ONE CLASS
After selecting the class, a detailed record will be printed. The
detailed record will include all student names, grades for all
assignments, category and final averages. All assignment titles,
point values, categories, and the average grade on each assignment
will also be printed. This complete information is printed on
either 1 or 2 sheets of paper. This complete record can be glued
into your school grade book at the end of each quarter. If I.D.
was chosen with selection 2 of the SET UP MENU, the detailed record
will be sorted before it is printed. Sorting can be by either
quarter or semester grade.

6-8 PRINT OUT COMPLETE DETAILED RECORDS - ALL CLASSES
The detailed record for every class will be printed. The detailed
record will include all student names, grades for all assignments,
category and final averages. All assignment dates, titles, point
values, categories, and the average grade on each assignment will
also be printed. This complete information for each class is
printed on either 1 or 2 sheets of paper.
This selection should be used periodically to create printed copies
of your grades. Complete records can be glued into your school
grade book at the end of each quarter. Periodic printing can help
prevent panic if your data diskette becomes accidentally damaged.
This is also the reason why back-ups of the student data diskette
are made.
6-9 SAVE DETAILED GRADES AS ASCII FILES - ALL CLASSES
This option saves the detailed record for all classes as an ASCII
file on the diskette which can be accessed by other programs. The
detailed record includes all student names, grades for all
assignments, category and final averages. All assignment dates,
titles, point values, categories, and the average grade on each
assignment will be saved. If I.D. was selected with selection 2 of
the SET UP MENU, the detailed record will be sorted before it is
saved.
These files can be printed by a program like Sideways(TM) from Funk
Software.
Three formats are available when making this selection. ASCII,
Comma Delimited or Flat. ASCII files save the information exactly
as it appears in the .DA_ files. Flat files put a space between
each of the assignment grades. Comma Delimited files place each
grade between double quotes and a comma. Comma Delimited files can
be read by programs like LOTUS 1-2-3.
6-10 PRINT OUR STUDENT CATEGORY AVERAGES - ALL CLASSES
Each student's name, category averages, and final average will be
printed. If the current term is not the first term of the
semester, the previous term totals must be transferred forward with
the GRADE UTILITY MENU. Then the last quarter grade will also be
printed. The point totals for each student in each category can
also be printed with the letter grades if the = key is pressed.

6-12 PRINT OUT STUDENT SUMMARY REPORTS - ELEMENTARY
This selection will print out a one sheet summary report for each
elementary student in your classes. The PRINT OUT includes the
school name, teacher and current grade in each class. If a message
was entered with selection 4 and Yes was chosen for selection 5 of
the SET UP MENU, the message will be printed. If Yes was chosen
for selection 3, a Parent Signature request will be printed.
If attendance and tardy information is included on this report,
that information is taken from class 1. This is why class 1 should
be your largest class.
6-13 PRINT OUT STUDENT CAPSULE REPORTS - SUPERDATA
This selection prints out one sheet for each student that matches
the requested SuperData. The Capsule Report includes the school
name, teacher and current grade for each term and the grade for the
semester exam (if any). If a message was entered with selection 4
and Yes was chosen for selection 5 of the SET UP MENU, the message
will be printed. If Yes was chosen for selection 3, a Parent
Signature request is printed.

7-2 PRINT OUT GRADES/DISTRIBUTION - SECONDARY
After selecting the assignment number in each class, a sorted chart
will be printed showing the student grades on the selected
assignment. A grade distribution chart for all students in the
selected classes will also be printed.
This selection is useful to print a listing of test results given
to several classes. This allows the teacher to quickly view the
range of scores, listing the students that have to make up the
test, and the class average of the test. The distribution chart is
also helpful to show the relative strengths of each class.
If I.D. was chosen in place of the student name, the student I.D.
code will be printed instead of the student name.
7-3 VIEW/SORT/PRINT OUT CATEGORY GRADES - ONE CLASS
After selecting the class and category, a chart will be displayed
showing the letter grades and category percentage of the students
in the selected class.
This chart will look similar to the data entry screen used to
record student grades. The displayed grade will show the category
percentage and corresponding letter grade.
Entering the letter S will sort these grades from highest to
lowest. Entering the letter P will send this information to the
printer. These grades can be printed in either sorted or unsorted
order.
If I.D. was chosen in place of the student name, the student I.D.
code will be printed instead of the student name.
7-4 VIEW/SORT/PRINT OUT CUMULATIVE GRADES - ONE CLASS

7-7 PRINT OUT QUARTER/SEMESTER SUMMARY - ALL CLASSES
The student name, both quarter grades, semester exam grade, and
semester grade will be printed for all classes. If I.D. was
chosen with the SET UP MENU, the student I.D. code will be printed
instead of the student name.
7-8 VIEW/PRINT OUT ADMINISTRATIVE SUMMARY - ELEMENTARY
The student name and the cumulative letter grades in all classes
will be printed. A grade distribution chart for all students will
also be printed.
7-9 VIEW/PRINT OUT ADMINISTRATIVE SUMMARY - SECONDARY
The cumulative letter grade distribution of all students will be
printed. In addition, up to 33 students with a letter grade of F
(bottom on the custom scale) or Incomplete will be printed below
the distribution chart.

8-1 COPY ONLY NAME/I.D.'S TO NEW DISKETTE - ALL CLASSES
Student names and I.D. codes from your original student data
diskette are placed on a new diskette with blank data files. The
new data diskette may be for the Current Semester or Next Semester.
The Set Up Menu determines if 2 or 3 grading terms will be created
for each semester. Some school districts use two-9 week term per
semester. Other school districts use three-6 week terms per
semester.
No assignments or student grades will be placed on the new
diskette. If the Escape key is pressed during the copying
procedure, the copying will be aborted and you will return to the
Utility Menu.
A blank data diskette for the current semester could be used to
record more than 60 assignments per quarter for each student. For
example, a teacher may wish to place all daily grades on one data
diskette, and summarize these daily scores with weekly quiz and
test scores on another data diskette. The student would then be
given two very complete print outs for each quarter.
A different blank data diskette should be used for each semester.
When this selection is used, the quarter (term) number will be
automatically advanced.
After the student names and I.D. codes are read from the source
(ORIGINAL) student data diskette is read, REMOVE that diskette and
INSERT the NEW student data diskette in that drive. Names, I.D.'s,
and two empty class files for recording the new assignments will be
created for you.
If the new .DA_ file already exists, GRADE BOOK POWER will not
create a new file that would destroy your existing data.

8-2 TRANSFER TOTALS TO NEXT QUARTER (TERM)
These selections use the same method to transfer grades and point
subtotals to the next quarter. Selections in red or with a bullet
to the left of the choice can not be selected because the term is
in the opposite semester.
The grades for each quarter (term) are stored on each diskette. At
the end of each term, use these selections to transfer the student
point totals and quarter grades to the next term of the semester.
Print outs that include the LAST QTR grade use the grade and point
totals that have been transferred with these selection. These
points are NOT included in the student's semester grade if Last
Quarter Only was chosen as the method to calculate semester grade
with the SET UP MENU.
8-3,8-4 ADJUST CURRENT TERM / SEMESTER PERCENT / LETTER GRADE
This description applies to both adjusting the current quarter and
current semester grade.
Occasionally it might be necessary to adjust a student's cumulative
and current quarter percent or letter grades. Pressing Alt-F lets
you flip between entering the new percent or Letter Grade.
If a percentage, letter grade or special grade is entered, this
grade will override the grade that the student really earned. This
new grade will be printed on all reports for the student and used
in all calculations and distributions. The student point totals
are not changed. If no change is made, the regular grade that the
student earns will be printed on all reports.
To blank out the adjusted grade, enter Alt-B for Blank. Enter
Alt-I for INcomplete. If Alt-E for EXcused is entered, the
Individual Student Report of the PRINT OUT MENU will not be printed
for this student.
8-5 ADJUST LAST QUARTER POINTS/GRADE - ONE STUDENT
Many print outs include the student's previous quarter points and
grades that were transferred with selections 2, 3, 4, 5, or 6 of
this menu. These points and grades can be adjusted with this
selection. After selecting the class and student number, the
following screen will be displayed:

Enter new point totals or keep the displayed information. If a new
point total is entered, a suggested grade is displayed. The
suggested grade is determined by the new point totals and grading
percentages from the SET UP MENU. To save the new grade to
diskette you must enter that grade.
The new point totals will be included on print outs that include
last quarter grades. These changes are overwritten if grades are
transferred forward with the UTILITY MENU. These points are NOT
included in the student's semester grade if Last Quarter Only was
chosen as the method to calculate semester grades with the SET UP
MENU.
8-6 TRANSFER ONE STUDENT'S GRADES TO A DIFFERENT CLASS
When a student transfers to a different section of a course you
teach, you can copy the student's name, I.D. code, and grades to
the new class. First select the current class the student is in,
then the student number, then the class that the student will be
transferred to.
This selection assumes the same assignments were entered in the
same order in both classes. If assignments were not entered in the
same order, use selection 3 of the NAMES MENU to add the student to
the new class. This student will receive an EXcused grade for
previously entered assignments in the new class. Then use
selection 7 of the MISSING ASSIGNMENT MENU to revise the EXcused
grades.

No information is removed from the original class. To delete all
student information from the original class, use selection 11 of
the NAMES MENU. To keep all information about this student in the
original class, EXcuse the student from future assignments in the
original class. This is done by selection 8 of the MISSING

9-1 CREATE COMBINED QUARTER/SEMESTER LISTING FILE
This selection is used to combine summary information into a new
file. Other selections on this menu use this file. This new file
CLASSALL.TMP includes the student name, I.D., superdata, class,
marker to identify missing homework, current quarter grade,
semester grade, and improvement from previous quarter. If the
letter M is displayed or included with printouts from this menu, it
indicates the student is missing an assignment. If I.D. was
selected on the SET UP MENU, printouts use the I.D. instead of the
student name.
9-2,9-3 QUARTER/SEMESTER GRADE LISTINGS
You will be asked if the quarter or semester grades should be used
to determine student rankings. Selection 2 allows you to view and
optionally print the top 20 students from all classes. Selection
3 will rank all students from all classes and make a printout.
Selection 4 allows you to choose which classes will be included in
the combined rankings. You will be asked if you want to
alphabetize the list (by either name or I.D.), and if you want to
include the rank number on the complete print outs. If the letter
M is included on the printouts, it indicates the student is missing
an assignment.
9-5,9-6 IMPROVEMENT FROM LAST QUARTER
Selection 5 allows you to view and optionally print the 20 most
improved students from all classes. Selection 6 will rank all
students from all classes according to their improvement from the
previous quarter and make a printout. You will be asked if you
want to alphabetize the list (by either name or I.D.), and if you
want to include the rank number on the complete print out. If the
letter M is included on the printouts, it indicates the student is
missing an assignment. These selections can not be made if the
current quarter is the first quarter of a semester.

9-7,9-8 DEFICIENCY AND SUPERDATA RANKINGS
Selection 7 will include all students that have a percentage equal
to or less than the deficiency percentage. Selection 8 will
include all students that have superdata matching the requested
superdata.
You will be asked if you want to alphabetize the list (by either
name or I.D.), and if you want to include the rank number on the
complete print out. If the letter M is included on the printouts,
it indicates the student is missing an assignment.
These selections are most useful to make a one page summary report
of students matching either the superdata or earning a low
percentage.
9-9 ALPHABETICAL LISTING
This selection allows you to choose which classes will be included
on the alphabetized print out. You will also have the option to
include the class name and section. Secondary teachers could pick
and choose which classes to include. Elementary teachers could
choose their largest class which is recommended to be the first
class.
This selection was designed to just print the student names and
optionally the class name and section. If you desire a student
listing with horizontal lines drawn between the student names use
the vertical print out from the STUDENT NAMES MENU. If you desire
the student names with three blank lines in front of their names,
use the screen display print out from the STUDENT NAMES MENU.

10-1 RESET THE PRINTER
This selection will send codes to reset the printer.
10-2 ADVANCE PAPER
This selection will advance the paper in the printer 1 line.
10-3 FORM FEED
This selection will eject the current page from the printer.
10-4 ADVANCE STUDENT NUMBER
You do not have to start printing individual reports with student
number 1. When this selection is chosen, enter the new starting
number. Printing will begin with the student number you entered
and end with the last student in the class.
10-5 ADVANCE CLASS NUMBER
When printing reports for all classes, you do not have to always
start with class number 1. When this selection is chosen, enter
the new class number. Printing will begin with this class and end
with the last class. The starting class number will remain active
until you leave GRADE BOOK POWER or reset this number back to 1.

10-6 RUN GRADE MODULES
WISCO Computing may develop and other programmers may write other
modules that use the information from the GRADE BOOK POWER name,
data, and listing files. Examples of other modules include
attendance, graphics routines, special class cards, word
processing, etc.
Others have written modules to access the information in the GRADE
BOOK POWER file. The module name should start with the letter G
and be two letters long. For example an attendance module could
have the filename GA.EXE. When this selection is made, you will be
asked to enter the module name. You would enter the letter A.
Your computer would run the GA.EXE program.
10-7 MAKING A BACK UP OF THE STUDENT DATA DISKETTE
This selection lets you automatically make a back up copy of the
student data diskette without using the DOS utilities. Follow the
instructions on the screen.
Do not remove the original student data diskette from the disk
drive. First, enter the BACK UP drive letter and (subdirectory).
You may press the ESCAPE key to leave this selection.
If necessary, place a formatted diskette in the BACK UP disk drive.
Pressing any regular key except ESCAPE will start the BACK UP
process.
All student data files will be read and copied to the back up
diskette. If the BACK UP diskette was in the drive that normally
contains the program diskette, return the GRADE BOOK POWER program
diskette to that disk drive. Then press any key to continue.
If your original data diskette becomes damaged, you will have to
read the student data from your back up diskette. This is easily
done. Use the DOS program COPY or XCOPY to copy all files from your
backup diskette to a new data diskette.
GRADE BOOK POWER can be started with the command GRADES /J You will
be asked to enter the drive containing the student data. Enter the
Drive (and subdirectory). You should then either save the new
drive information by saving the information with the SET UP MENU,
or make a back up of this data disk on another floppy. Leave GRADE
BOOK POWER, start the program over with GRADES /J Then enter the
old drive with the diskette containing the student data.

10-8 PRINT OUT CLASS SETTINGS
This selection allows you to print out the individual class
settings. The SET UP MENU allows each class to have different
settings. The letter-percentage equivalents, categories, methods
to calculate quarter and semester grades, weights of each category
(if applicable), and weights of each grading quarter (term) and
semester exam (if applicable).
10-9 REVISE/REVIEW MISCELLANEOUS SETTINGS
These selections allow you to lock out Elementary or Secondary
level options on the Pull-down Menus. This can prevent you from
accidentally making a wrong selection. If your printer is capable
of using condensed pitch (16.67 cpi), you can print the detailed
reports with either condensed or 10 pitch.
Two sizes of vertical listing squares and optional support for the
sheet feeder is available for Epson printers.
Laser-Jet and Desk-Jet printers do not normally have fixed-width 12
character per inch printing. You must download a soft font or use
a font cartridge to support 12 pitch.
10-10 REVISE/REVIEW GRADE BOOK POWER COLORS
Up to 127 color combinations may be used by GRADE BOOK POWER. When
this selection is made, a chart showing the 127 color combinations
and their associated numbers is displayed.
Following are the default values for screen colors. You may enter
different numbers from the displayed chart:

When you have finished entering this information, press the Escape
key. Then enter a number for the mouse cursor color. The (1-7)

11-2 DIFFERENCE BETWEEN ALT-A AND ALT-I
This is a more complete explanation about the difference between
entering Alt-A for ABsent and Alt-I for INcomplete.
In both cases the grade is assumed to be a zero until it is made
up. It is counted as a 0 when the individual student average is
calculated. For the class average, ABsent is ignored in the
computation, INcomplete is counted as a zero.
For example, if you had 4 students in your class and gave a test
worth 100 points. Let's assume that 2 of the students had perfect
scores of 100. The other 2 students were absent. The average of
the test could be figured two ways.
1) just from those students taking the test
(100 + 100)/2 = 100% average
(100 + 100 + AB + AB)/2 = 100% average
OR
2) the average of all students in the class
(100 + 100 + 0 + 0)/4 = 50% average
(100 + 100 + IN + IN)/4 = 50% average
In the first case Alt-A for ABsent was entered. In the second case
Alt-I for INcomplete was used.
The quickest way to update missing assignments is to use the update
option, not the revise assignment grades. The grades that were
entered as INcomplete, ABsent, or ___Blank will be automatically
displayed for fast update.

11-3 FILES CREATED BY GRADE BOOK POWER
The file CO is created on the program diskette. It contains the
printer codes and drive to search for student data.
The file CONFIG.GRD is created on the student data diskette. It
contains your course title and section names, percentages
representing different letter grades, printer number, and the
information displayed on the Program Set Up Menu.
All files starting with CLASS1. are used for the first class
recorded on the Student Names Menu. Files ending with .NA1 and
.NA2 contain the names and I.D. codes for students in the class.
Individual class settings (categories, method to calculate quarter
and semester grades, and weights) are also in the .NA1 and NA2
files. Files ending with .DA1 contain the assignments and student
points for all grades in quarter 1. Files ending with .DA2 contain
the assignments and student points for all grades in quarter 2.
Files such as CLASS1.GRD are ASCII files created by selection 9 of
the PRINT OUT Menu. These files can be printed by a program such
as Sideways(TM) by Funk Software. The file CLASSALL.TMP is the
listing file created with selection 1 of the LISTS MENU.
11-4 GETTING READY FOR A NEW SCHOOL YEAR
The first time you use the program, you should copy all files from
the distribution diskette to a formatted disk that contains the
file COMMAND.COM. The manual refers to this disk as the program
disk. Also have a blank formatted student data diskette ready.
If you have previously used the program disk, remove the file CO
from the program diskette. If you are going to reuse your student
data diskette, erase all the files from your data diskette.
Then follow the instructions on Page 8 of this manual. If these
instructions change, or if new features are added to GRADE BOOK
POWER, the information will be in a README file located on the
diskette.
11-5 ENHANCEMENTS PLANNED FOR GRADE BOOK POWER
Hooks have been included so GRADE BOOK POWER data files can be
access by other modules written by WISCO COMPUTING or by other
authors. Ideas for additional modules include graphics routines,
seating chart maker, and attendance. Customer requests will
determine which modules are added to this powerful program.
